Begin with the problem you want to solve
A replacement conversation should start with your home. Is the current system unreliable, expensive to operate, noisy, or unable to keep particular rooms comfortable? Write down the two or three outcomes that matter most. A new outdoor unit is not a complete plan for a hot upstairs bedroom or a persistent airflow problem. Ask the designer to explain which parts of the proposal address each concern, and which concerns need a separate investigation.

Compare a complete equipment match
Ask for the outdoor model, indoor coil or air-handler model, furnace where applicable, thermostat, and rated efficiency of the proposed combination. Brand and capacity alone do not identify a complete system. Keep each proposal together so you can compare the actual combinations. If a contractor proposes keeping existing equipment, ask how compatibility was checked and what that choice means for performance, controls and warranty coverage. Request the relevant manufacturer documentation.

Make sizing and airflow part of the discussion
ENERGY STAR identifies equipment sizing, duct condition, refrigerant charge and airflow as important installation considerations. Ask how your home’s needs were evaluated and whether the proposed work includes correcting existing duct or return-air issues. Do not assume the old system’s size is automatically right for the replacement. Bring information about additions, window changes, insulation work and rooms that behave differently. These details help frame the home evaluation.

Read the scope beyond the equipment
Look for removal and disposal, access requirements, electrical work, drain work, equipment support, controls, permits where required and inspections. A shorter estimate can leave important responsibilities unclear. Ask who handles each step, what is excluded, and how an unexpected condition will be approved. Compare payment and ownership costs
Review the installed price separately from financing. A monthly payment needs an APR, payment count, fees and total repayment to become a useful comparison. Estimated cooling savings are another input, not money you can assume will appear on every bill. Keep maintenance, filter requirements, parts coverage and labor coverage in your notes. Ask for alternatives that genuinely fit your priorities instead of choosing only the lowest payment or highest efficiency number.

Plan the installation handoff
Before the work begins, agree on access, the likely interruption to comfort, and whom to contact if plans change. After installation, ask for the model and serial numbers, startup documentation, operating instructions, filter information and registration responsibilities. Prime’s installation process includes documented work and quality-control follow-through. Ask what remains open after the visit, including any inspection or paperwork. Save the completed proposal and final records together so a future service conversation starts with the right information.
